Winter Ridge Condominium Homeowners Association, Inc. (“Winter Ridge,” “Association,” “we,” “our,” or “us”) respects the privacy of our owners, residents, tenants, prospective purchasers, applicants, guests, and website visitors.

This Privacy Policy explains how information may be collected, used, stored, and shared when you use the Winter Ridge website, member features, mobile applications, forms, communications, and other online services.

Depending on how you use our website or services, Winter Ridge may collect information such as:

• Winter Ridge unit number or property address

• Owner, tenant, resident, or other relationship to the Association

Winter Ridge does not intentionally collect more personal information through the website than is reasonably necessary to provide Association services and communications.

2. Website Member Accounts

Winter Ridge may maintain website accounts for owners, tenants, residents, or other authorized users.

Account information may include your name, email address, unit information, resident status, and other information necessary to provide access to appropriate website features.

When information is migrated from a prior Winter Ridge website or resident database, users may be required to create a new password before accessing the new website.

Passwords are managed through the website platform and are not available to the Winter Ridge Board or other residents.

• Provide community information and Association services

• Verify eligibility for member-only website access

• Communicate with owners, residents, and tenants

4. Wix Website and Mobile Services

The Winter Ridge website is hosted using Wix and may use Wix-provided features including website hosting, member accounts, forms, analytics, mobile-app functionality, and Wix Smart Chat.

Wix may process technical and personal information as necessary to provide these services. Information processed by Wix may also be subject to Wix's own privacy practices and policies.

 

5. AI and Smart Chat

Winter Ridge may provide an AI-assisted chat feature to help visitors locate community information, rules, policies, forms, office information, and other resources.

Questions entered into the chat may be processed by Wix or other technology providers supporting the service.

AI-generated responses are provided for convenience and general informational purposes. They may contain errors or incomplete information and do not replace the Association's governing documents, official notices, Board decisions, or applicable law.

Visitors should avoid submitting sensitive personal, financial, medical, or confidential information through the AI chat unless specifically instructed to do so through an authorized secure process.

 

6. Help Portal and Service Requests

Winter Ridge may provide links to an external Help Portal for questions, maintenance requests, forms, concerns, or other Association services.

Information submitted through an external service, including the Winter Ridge Help Portal, may be processed by the company providing that service and may be subject to that provider's privacy and security policies.

 

7. Applications, Background Checks, and Screening

Applications for purchasers, tenants, or other occupants may be processed through an external application or screening service.

The Winter Ridge website may provide a link to:

Information submitted through that application system, including information used for background screening, is processed through the applicable third-party provider and is subject to that provider's privacy practices.

Sensitive application and background-check information should not be submitted through ordinary website contact forms, Smart Chat, or general Association email unless specifically requested through an authorized process.

 

8. Payments and Financial Information

The Winter Ridge website may provide links to third-party systems for assessment payments, account information, or other financial services.

Payment information submitted through an external payment processor or management platform is processed by that provider. Winter Ridge does not require residents to submit credit card, debit card, or bank-account information through ordinary website forms or Smart Chat.

Third-party financial services may maintain their own privacy and security policies.

The Winter Ridge website is intended primarily for owners, residents, prospective purchasers, tenants, and others conducting Association-related business.

Winter Ridge does not knowingly use the website to solicit personal information directly from children under 13.
